Getting started

Your First Wheelchair-Accessible Ride: A Seattle Booking Checklist

A good trip begins before the van arrives. Confirm the right vehicle, the exact entrance, the help you need, and how you will get home.

The appointment is on the calendar. The address is saved. Then a more useful question appears: will this ride work for me? For a first wheelchair-accessible trip, the smallest details often make the biggest difference—a side entrance, an extended footrest, or a phone that will be in someone else’s bag.

Use this checklist to turn an address and a time into a clear trip plan. You do not need transportation jargon. You need a provider who can explain what will happen and confirm the arrangements you are relying on.

Start with the rider’s preferences

Ask the person taking the ride how they prefer to communicate and receive assistance. If you are booking for someone else, describe their preferences in their own words. A family contact can help coordinate the day without becoming the only person the driver addresses.

Write down whether the rider uses a manual wheelchair, power chair, scooter, or another device. Explain whether they expect to remain in it during travel. If transferring is being considered, discuss suitability with the rider and their care team; do not build the booking around an unconfirmed transfer.

Confirm the vehicle before confirming the ride

Share the chair’s make and model, occupied dimensions, and any equipment that affects space. Ask the operator to verify the assigned vehicle’s boarding clearance and capacity. A label such as “wheelchair accessible” does not tell you every dimension of a particular vehicle.

The FTA’s bus and rail wheelchair guidance explains why a mobility device and its occupant must be considered together when assessing lift capacity. For a private booking, request the actual vehicle specifications and operator assessment. Our power wheelchair fit guide walks through the details to gather.

Replace the map pin with an entrance plan

  • Pickup: building name, street address, accessible entrance, and where the rider will wait.
  • Route to the van: elevator, gate, ramp, steep driveway, or construction that the provider should know about.
  • Destination: the correct clinic or building entrance, including a floor or suite where helpful.
  • Contact: a working number for someone who will be available at pickup.

Keep entry codes and sensitive instructions in the provider’s booking channel, rather than in a public comment or review. If a building has several entrances, naming the usable one is more helpful than simply writing “main entrance.”

Separate appointment time from pickup time

Tell the provider when you must check in, not only when the appointment begins. Ask how loading, traffic, unloading, and the route into the building affect the proposed pickup. For example, a 10:00 appointment with a 9:40 check-in needs a different arrival plan from a flexible afternoon visit.

Then plan the return. Is it a fixed pickup, a request after the appointment ends, or a separate reservation? Who makes that call, where will the rider wait, and what happens if the clinic runs late?

Get the important answers in writing

Before the day of travel, confirm the vehicle fit, assistance level, both trip legs, price, and any waiting or cancellation terms. Use our guide to door-to-door assistance to make the handoff specific.

If you are comparing public options, King County Metro Access has its own eligibility and booking process. A private ride request does not enroll a rider in that program.

Your final check: Can the rider, the person at pickup, and the provider each describe the same plan? If they can, you have done more than book a vehicle. You have made the day easier to navigate.
