An appointment confirmation gives you a place and a time. It may leave another essential question unanswered: who is arranging the wheelchair-accessible ride?
For a trip to VA Puget Sound, start that conversation as soon as the appointment is scheduled. If you want VA to arrange or pay for transportation, ask your care team and Beneficiary Travel office about your eligibility, the appropriate vehicle, and any approval needed before travel. Then obtain a specific ride confirmation, including the return.
Ask about special mode transportation before paying privately
VA's current travel-pay guidance describes special mode transportation as an ambulance or specially equipped vehicle used when a Veteran's medical condition makes regular transportation unsafe. For reimbursement, VA lists travel to VA or approved community care, travel-pay eligibility, a VA provider's determination that the special vehicle is needed, and advance approval except in an emergency.
The Veterans Transportation Program specifically includes wheelchair vans among special modes and says VA authorization requires documentation of medical necessity from a VA provider. Ask your team which process applies to your trip and who will complete it.
- Has the needed transportation been approved, or is a clinical review still pending?
- Does the approval cover this appointment, destination, and both directions?
- Will VA arrange the operator, or are you being asked to take another specific step?
- What confirmation should you receive, and whom should you contact if it is missing?
Keep the answers with your appointment details. Having a referral for care and having a booked ride are separate steps.
Identify the service that fits how you travel
VA Puget Sound lists several transportation arrangements on the Seattle VA Medical Center page, including an intercampus shuttle, DAV volunteer transportation, and special mode transport contacts. They serve different needs.
For example, the local DAV volunteer service currently lists being able to walk and needing minimal assistance among its rider requirements. If you need to remain seated in your wheelchair during the trip, tell the travel team that explicitly and ask them to identify a suitable arrangement.
Provide the requested wheelchair information, including occupied dimensions and combined rider-and-device weight where relevant. Explain whether a companion will travel and what help you need at each entrance. Ask how those details reach the assigned operator. Our wheelchair and vehicle-fit guide helps organize that conversation.
Request help early. The national VTS guidance makes transportation subject to local availability and facility guidelines. A program's existence does not confirm a space on the day you need it.
Use the exact clinic and pickup entrance
The Seattle VA Medical Center is at 1660 South Columbian Way. Check your appointment notice to confirm the actual facility, building, and clinic; a visit elsewhere in the VA Puget Sound system needs its own destination details.
Ask the clinic which accessible entrance serves your appointment and where the return vehicle should meet you. Record the required check-in time separately from the vehicle pickup time. If the day includes several appointments, tell the travel coordinator about the complete schedule.
Make assistance specific: who helps from home to the vehicle, who accompanies you from the arrival point to the clinic, and who helps you reach the return pickup? Use our guide to confirming assistance to settle those tasks before the day of travel.
Keep the reservation and reimbursement paperwork together
The VA News explanation of travel reimbursement describes how eligible Veterans can seek payment for qualifying travel and emphasizes keeping supporting receipts. Use it as background, then follow the current instructions from your travel office for your approved trip.
VA's claim guidance advises filing within 30 days, keeping transportation receipts, and obtaining proof of attendance for community care. Ask what documents apply to your situation. Do not assume that a mileage-only claim process is the correct route for a wheelchair van expense.
Save the approval, ride confirmation, operator's contact details, receipts, and any requested attendance record together. For a late-running appointment, know whom to contact and whether the return is fixed or requested when you are ready.
Make a separate decision about a private-pay ride
If you choose private transportation, confirm the full price, assistance, vehicle suitability, and change terms before reserving. Our quote-comparison guide covers the questions that affect the complete trip cost.
Stellar Mobility's trip request starts a private-pay review of availability, route, equipment, and pricing. It does not establish VA authorization or reimbursement. Resolve any proposed VA payment with the responsible VA office before making a private purchase.
Your ready-to-travel check: Know who approved or will pay for the trip, who booked it, which vehicle and assistance are confirmed, and how you will get home. Put the contact for changes beside the appointment details so it is easy to find when needed.
